The Ghaster Painting & Coatings Staff Portal is operated by Bo Gonzales on behalf of Ghaster Painting & Coatings, a commercial painting company based in Tucson, Arizona. This policy explains what information we collect, how we use it, and how we protect it.

2. What Information We Collect

We collect the following types of information:

• Account information — your name, email address, and role at Ghaster Painting & Coatings
• Performance review answers — your responses to the 10-question review form
• Daily log text messages — messages sent to the Ghaster SMS log number
• Portal activity — pages visited, actions taken, and timestamps within the Portal
• Phone number — if you use the SMS daily log system

3. How We Use Your Information

Your information is used to:

• Generate AI-assisted performance reports for your supervisor's review
• Track field crew activity and job site performance
• Support employment decisions made by Ghaster Painting & Coatings management
• Send automated SMS confirmations in response to daily log texts
• Maintain records required for business operations

4. Who Can See Your Information

Your information is accessible only to authorized personnel at Ghaster Painting & Coatings — specifically your supervisors and company management. Your performance review is not shared with you until your supervisor approves it.

We do not sell, rent, or share your personal information with any third party outside of Ghaster Painting & Coatings, except as required by law.

5. Third-Party Services

The Portal uses the following third-party services to operate:

• Clerk — secure employee login and authentication
• Twilio — SMS message delivery for daily logs
• Anthropic (Claude) — AI analysis of review responses and daily logs
• Google Sheets — storage of operational data
• Vercel — hosting of the Portal

Each of these services has its own privacy policy. Your data is only shared with them to the extent necessary to operate the Portal.

6. SMS & Text Messages

If you use the daily log SMS system, your text messages are received, stored, and analyzed by AI to generate summaries for management. By texting the log number, you consent to this processing. You can opt out at any time by replying STOP.

7. Data Retention

Your data is retained for as long as you are employed at Ghaster Painting & Coatings. After your employment ends, data may be retained for up to 2 years for operational and legal purposes, then deleted or anonymized.

8. Your Rights

You have the right to:

• Ask what information we have about you
• Request a correction if your information is wrong
• Request deletion of your data when legally permissible

9. Security

We use industry-standard security practices to protect your data, including encrypted connections (HTTPS), secure authentication via Clerk, and access controls that limit who can view your information. In the event of a data breach, affected employees will be notified within 72 hours.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, the "Last updated" date at the top of this page will change. Continued use of the Portal after any changes means you accept the updated policy.
